Congratulations on your engagement. Planning a backyard wedding can be an intimate and beautiful way to tie the knot, but it also comes with a variety of costs that need to be considered. While having a wedding at home might seem like a cheaper alternative to a traditional venue, there are still many expenses to factor in and budget for. Before you send out those wedding invitations let us help you decide if you want a Backyard Wedding or Affordable Barn Wedding at the Heart D Farm in Kissimmee / St. Cloud, Florida. Here’s a breakdown of the typical costs involved in a backyard wedding:

1. Venue Costs

  • Cost: $0 to $5,000+ If you’re using your own backyard, this might be free, but if you’re renting a space, it could range anywhere from $500 to $5,000, depending on the location, size, and facilities offered.
  • Wedding packages at the Heart D Farm Wedding Venue begin at $4,995 for 50 guests and $5,995 for 100 guests on a Friday or Saturday.

2. Permits and Insurance

  • Cost: $100 to $1,000 Some areas require a permit to host an event like a wedding, especially if you’re having a large guest list or setting up large structures like tents. Additionally, insurance can be a wise investment to cover potential issues, such as bad weather or property damage.
  • No permits are necessary at the Heart D Farm Wedding & Event Venue.

3. Tents and Equipment Rentals

  • Cost: $1,000 to $10,000 If you’re planning an outdoor wedding, you might need to rent a tent to protect guests from the sun or rain. You’ll also likely need tables, chairs, linens, lighting, and sound equipment. Prices vary depending on the quality and quantity of rentals.
  • A the Heart D Farm Wedding & Event Venue our Big Barn Pavilion has 4,172 SF of covered area with a moving clear enclosure system. Our wedding package also INCLUDES four farm tables with cross back chairs and round tables with white garden chairs. We also provide food tables, a sweetheart table and our special whiskey barrels with wood tops for your cake, memory table or gifts. We can easily accommodate around 160 guests.

4. Catering and Beverages

  • Cost: $3,000 to $10,000 Catering costs are one of the biggest expenses for any wedding. While having a backyard wedding can give you flexibility, you’ll still need a caterer, food, and drinks. Depending on the type of meal (buffet, plated, food stations, etc.), you could pay anywhere from $20 to $100 per guest. Don’t forget costs for alcohol and bartenders if you’re serving drinks.
  • We have a Preferred Vendor List that includes several local caterers who can provide you with competitive pricing for food and bar services. If you have another caterer in mind we are happy to discuss the required details for them to work at our venue.

5. Wedding Planner/Coordinator

  • Cost: $500 to $5,000 Even for a backyard wedding, having someone to help coordinate the details can make your life easier. A full-service wedding planner might be out of budget, but you could hire a day-of coordinator to ensure everything runs smoothly.
  • We recommend every wedding have a day-of coordinator. Our Preferred Vendors List includes two of the most desired and capable coordinators in our area. They may also assist with decor and placement. You will find their services are priceless on your big day.

6. Flowers and Decorations

  • Cost: $1,000 to $5,000 You’ll need to decorate the space to create the atmosphere you want. This includes flowers for the ceremony and reception areas, along with other decor items like centerpieces, aisle markers, and lighting. With a backyard setting, you may already have natural beauty to enhance, but there will still be costs for additional flowers and decorations.
  • You will want to visit our “Something Borrowed” Room and discover all the items we have that are INCLUDED in the wedding package. We have an assortment of chargers, centerpieces wood rounds, lanterns, easels, signs, votives and yes even some greenery and wedding florals. You may want to upgrade your look with our assorted glassware if you choose. There are dozens of possibilities and options to make sure your day is all you want it to be.

7. Wedding Photography and Videography

  • Cost: $2,000 to $7,000 Capturing the special moments of your big day is essential, and having a professional photographer and videographer is a must. Costs vary depending on the hours of coverage, experience, and package details.
  • Our Preferred Vendors List includes some of the most amazing wedding photographers in the area! And they have all worked at our venue and know all the perfect photo opportunity areas. Keep in mind that a backyard wedding may very well limit your wedding day photos.

8. Entertainment and Music

  • Cost: $500 to $3,000 Whether you choose a DJ, live band, or a simple playlist, music is a big part of any wedding celebration. You may also need to rent audio equipment if you’re hosting your wedding outdoors.
  • Once again our list of Preferred Vendors includes some of the best DJ services available. A good DJ will keep your day moving and grooving! They can also help you choose your wedding songs playlist.

9. Wedding Attire

  • Cost: $500 to $10,000 Wedding attire costs can vary greatly depending on your personal taste. The bride’s gown could range from a budget-friendly option to a designer gown, while the groom’s attire and accessories may also contribute significantly to the overall cost.

10. Favors and Gifts

  • Cost: $200 to $1,500 Small tokens of appreciation for your guests, bridal party gifts, and other thank-you gestures can add up. Wedding favors can be a fun way to personalize your event but will require budgeting.
  • Our gift to you is a QR code for your big day. We create your own Custom QR Code and place it in a special display on every table so your guests can share all of their photos of your day! This is a wonderful way to celebrate and its INCLUDED!

11. Transportation

  • Cost: $300 to $2,000 Even though the wedding is at your home, you may still need to provide transportation for the couple, bridal party, and guests. This could involve renting a limo or shuttle service for guests, especially if parking is limited.
  • We are situated on 30 private acres surrounded by local ranch land. Parking is plentiful and INCLUDED. For events of 100 guests or more we even provide a parking attendant.

12. Cleaning and Waste Management

  • Cost: $200 to $2,000 Backyard weddings require extra cleaning before, during, and after the event. You may need to hire a cleaning service and rent extra toilets or sanitation stations if your event exceeds the capacity of your home’s facilities.
  • Our couples never need worry about taking out the trash. Our wedding venue is clean when you arrive and ready for your vision to come to life! We also provide an air conditioned restroom which is handicap accessible with 3 restroom stations each for the ladies and the gentlemen.

Total Estimated Costs:

  • Low-End Budget: $10,000 – $15,000
  • Mid-Range Budget: $15,000 – $30,000
  • High-End Budget: $30,000+
